SStudyFlow

PRIVACY · EDUCATIONAL PLANNER

Your study data remains under your control.

StudyFlow is local-first. You can use the planner without relying on cloud synchronisation. If you choose to sign in and enable sync, your StudyFlow planner can also be stored privately in Firebase so that it is available across supported devices.

Who operates StudyFlow

StudyFlow is operated as an independent educational planner at study.marcelipawlinski.co.uk. It is designed for students, including secondary-school students, and is not a school administration system.

What is stored locally

Subjects, timetable entries, homework, assessments, results, topic confidence, preferences, focus history and optional imported calendar availability are kept in browser storage on the device you use. This supports local-first and offline use. Local data remains until you remove it, clear browser data, or use StudyFlow’s “Clear this device’s data” setting.

Optional accounts and cloud sync

If you sign in with Google or email and choose cloud sync, StudyFlow stores your planner state in one private Google Cloud Firestore record associated with your Firebase account. Firebase Authentication stores the account information needed to sign you in, such as your email address or Google account identity. Google receives the information needed to complete Google sign-in under Google’s own privacy terms. StudyFlow does not make cloud sync mandatory.

Your choices, retention and deletion

You can export a human-readable backup from Settings, turn off sync without deleting the cloud copy, delete the cloud copy, or clear device-local data. Cloud deletion removes the synced planner record; clearing this device removes its local copy. These are separate actions and StudyFlow explains the difference before destructive changes. Signing out does not automatically erase local planner data, which is important on shared devices.

Cookies, storage and analytics

StudyFlow uses browser storage for the planner and Firebase authentication state when you sign in. The core planner does not use advertising, sell personal data, or load third-party advertising analytics or tracking pixels. Optional course links and calendar files open or are imported only when you choose them; external providers have their own privacy policies.

Optional Gemini assistance

Gemini assistance is off by default. You must turn on “Use Gemini with this planner”, then press a specific action. Turning it off stops future Gemini requests. StudyFlow does not send planner data merely because the app is open.

What is sent: homework planning sends up to eight incomplete homework items (title, subject, due date and estimated time) plus study-time preferences. Grade guidance sends the subjects, qualification, target grade and up to eighteen student-entered results (assessment title/date, grade or score, maximum score, percentage and weighting). Calendar review sends the next fourteen days of commitment times and durations plus movable study sessions and availability; personal events are labelled “Busy” rather than sending their title. Timetable scanning sends only the timetable image that you explicitly photograph or select. The image is reduced on your device where supported, sent to Gemini to extract class names, weekdays and times, and is not uploaded to StudyFlow’s own cloud storage. Extracted classes remain a local draft until you review and import them.

These selected details are sent through Firebase AI Logic to Google’s Gemini Developer API only for the request you make. Gemini returns a suggestion; it cannot directly change your planner, and calendar or timetable suggestions require your review before they are applied. Grade guidance is not an official prediction.

Retention and monitoring: StudyFlow does not keep a separate copy of Gemini prompts or timetable photos. However, Firebase AI monitoring is enabled for this project and may store sampled prompts, submitted image content and generated responses in Google Cloud Logging. Google’s handling and retention of Gemini Developer API requests is governed by its applicable terms and settings. Avoid photographing student names, credentials, private notes or other unnecessary personal information. You can disable Gemini at any time in More → Gemini study assistant.

Schools and under-18 users

School administrators do not receive access to a student’s planner through StudyFlow. A school may still control the device or network used to access the service. Students under 18 should avoid storing information they would not want on a shared device and should ask a parent, guardian or school if they need help with an account or privacy request.

What StudyFlow does not collect

StudyFlow does not request precise location, contacts, microphone access, payment details or device fingerprints. If you choose timetable photo import, your browser may offer the camera or photo library only for that action; StudyFlow does not turn on the camera in the background. It uses your browser timezone for scheduling without needing location access.

Do not use a shared device without signing out and, if appropriate, clearing local StudyFlow data when you finish. For privacy questions, use the contact route on the Contact page.
